Connect the approved sample to the purchase order
Keep Japanese finish samples, product codes, approval records and batch requests connected from selection to procurement.
Choose a code before comparing finishes
Record manufacturer, collection edition and exact code. Link to the original product source rather than relying on a cropped screenshot. Compare the selected dimensions and material with the specification sheet; photographs do not reliably establish texture, scale or colour under project lighting.
Make sample approval traceable
Give the received book or sample a project reference. Record who approved it, when, the intended room or zone and any comments about lighting, adjacent finishes or texture. Keep the sample reference next to the order line so a later model change triggers a new review.
State the lot request explicitly
Ask whether the required quantity can be supplied from the requested lot and which identifiers will appear on the labels. For phased purchases, record the earlier label reference. A sample approval by itself does not confirm factory stock, production lot or a later replenishment match.
Quote the sample and shipment terms
Request the book or small sample, destination postcode and timing through EST’s sample channel. Availability, sample cost and DHL/FedEx serviceability are quoted. The current sample-book programme allows the quoted book fee to be credited against the first container order; courier charges and destination taxes are excluded.
Carry the approval into the order
Use the planner to list the exact codes and quantities, then state the approval reference and batch request in the inquiry. Keep the approved sample until the order and receiving checks are complete. Request an NDA before sending confidential drawings or BOQ documents.
