JAPANESE MATERIALS BUYING GUIDE

What to send with a Japanese building materials quotation request

A useful enquiry starts with a specific product and a clear delivery destination. Use this checklist to give EST enough information to ask suppliers the right questions. A screenshot can help identify a product, but the manufacturer’s current model code is the best starting point.

1. Identify the exact product

  • Manufacturer and product family.
  • Model code, colour or finish code, and a link to the official product page.
  • For doors and openings: the complete set you need, including frame, hardware and opening direction.
  • For kitchens and bathrooms: the planned layout and relevant opening dimensions.

2. Define quantities and timing

List quantities per model, with the unit of measurement. Keep a wallcovering roll, a box of flooring and an individual door set distinct in the enquiry. Tell us whether the quantities are final or preliminary, and give your requested shipping date.

Supplier availability and lead time must be checked for each product. A requested date is a planning requirement, not a confirmed delivery commitment.

3. Describe the destination

  • Destination country and city or port.
  • Whether you need a port quotation or delivery to a named address.
  • The consignee or importing business, where known.
  • Any project specifications or documentation your team needs to review.

4. Ask for a clear quotation scope

Separate product costs from the proposed packing, inland handling, freight and documentation scope. Ask which charges are included, which are excluded, and what information is still required. Review destination requirements with the responsible project and importing parties before confirming an order.

A simple enquiry format

Manufacturer / model / finish / quantity / destination / required timing / required documents. Attach the official link or a specification file if available. If your list spans several brands, send one itemised schedule so EST can review the package together.
